Office Administrator

Job Summary:


We are seeking a meticulous and professional Office Administrator to join our small but fast-growing team of 23 staff in Caerphilly. This office-based position plays a key role in supporting our project onboarding process, acting as the first point of contact for clients submitting project requests. The role focuses on efficiently managing internal workflows, handling client communications with sensitivity, and ensuring accurate information is gathered for pricing assessments.


You will work closely with the Appraisals Manager, contributing directly to the valuation and commercial appraisal of scientific and technical equipment projects submitted by clients. These projects may involve equipment resale, outright purchase, or commission-based brokering services.


The contracted hours for this position are 37.5 hours (Monday to Friday – (8:30 – 16:30) with an unpaid lunch break, plus the opportunity for overtime. The salary is £13.50 - £15.50 per hour, depending on experience. This position will be subjected to a 6-month probationary period.

About the Role:

  1. Acting as the first point of contact for inbound client project enquiries via phone and email.
  2. Collecting and verifying all necessary information to prepare projects for valuation.
  3. Managing client expectations and communicating clearly around timelines and next steps.
  4. Uploading, downloading, and organising documentation within internal systems.
  5. Supporting the internal workflow by tracking project stages and ensuring all information is complete.
  6. Liaising with the Appraisals Manager and wider team to help deliver accurate, timely offers to clients.
  7. Providing general admin support and maintaining structured records and file systems.


Training and Development:

While many of the projects involve laboratory and technical equipment, we do not expect prior technical knowledge. Full training will be provided on internal systems, documentation processes, and client workflows.


About You:

We’re looking for a motivated and highly organised individual who:

  1. Has excellent IT skills and is comfortable using document management tools, emails, and internal systems all day.
  2. Is a clear, professional communicator—able to manage difficult or sensitive conversations with diplomacy and honesty.
  3. Thrives in an administrative role with a high level of structure, attention to detail, and data accuracy.
  4. Is confident working with different teams to gather missing information or resolve project issues.
  5. Can balance working to defined processes with using initiative to keep projects moving.

Online Auction Photographer & Stock Processor (Caerphilly)

Job Summary:

We are offering a unique opportunity to join our small but fast-growing team of 23 staff in Caerphilly, as an Online Auction Photographer & Stock Processor.


We are looking for a self-motivated, hard-working individual who has initiative and works well unsupervised, to join our team.


The contracted hours for this position are 37.5 hours (Monday to Friday – (8:30 – 16:30) with an unpaid lunch break, plus the opportunity for overtime. The salary is £12.60 - £15.00 per hour, depending on experience. This position will be subjected to a 6-month probationary period.

About the Role:


The role involves processing items that our team collect into auction ‘lots’ ready for resale online. This involves powering on units and carrying out basic testing, photographing the products, and writing inventory information where appropriate.


Typically, you will clean, process and photograph products. The items to process range from small lots such as microscopes and lab glassware to medium-sized equipment such as ovens and exercise bikes, to large equipment such as furnaces, lathes and milling machines.


Initially, your team leader will provide you with the products to process under direct supervision. But with training and your growing experience in the role, you will begin to organise and break down pallets full of unprocessed equipment for re-sale independently.


You will not be required to write eBay or auction text descriptions within the role.


Overall, because each product we process is very different, the role is quite varied and mentally stimulating. As all our staff will attest, no day is quite the same as the last, and we need a new team member who enjoys the variety and the challenges this brings.


Training and Development:


We sell predominantly used laboratory equipment, but we do not expect you to have any prior knowledge of lab equipment.


About You:


We are looking for a hard-working and committed individual who can think on their feet and respond well to this dynamic position.


To fulfil the role, you will need to be comfortable working in a warehouse environment and using equipment such as pallet trucks daily.


Many of the smaller items are also heavy, often exceeding 30kg, and so you will need to enjoy hard physical work as a lot of manual handling is associated with processing these products.


Many of the items we collect have some simple faults, such as blown fuses or damaged parts that need replacing, so being competent with basic hand tools is also advantageous.


It is important that you feel comfortable both working under direct supervision to meet targets, as well as self-motivating yourself when working independently.


Other Considerations:


The position is strictly non-smoking only.


Because most of the equipment comes from laboratory environments, you will need to wear our lab gloves and lab coats during your working hours.


If desired, there may also be opportunities to do work carrying out equipment collections – this can be discussed at the interview.

Warehouse Operative (Caerphilly)

The contracted hours for this position are 40 hours (Monday to Friday – (8:00 – 16:30) with an unpaid lunch break, plus the opportunity for overtime. The salary is £12.60 to £13.50 per hour depending on experience. There are opportunities for growth beyond this level for the right candidate.

About the Role:

The role primarily involves stocking, picking, general movement of stock, maintaining the warehouse space and supporting other departments to maintain daily efficiency.


The business has various departments which rely on stock movements with varying priorities, so you will need to use your initiative to prioritise workload and maximise productivity.


Currently, our dispatch team pick the majority of products themselves, and our processing team handle all their stock move requirements – instead, you will complete picking and stocking on their behalf, and then complete other warehouse duties as required, such as loading/unloading courier vehicles, preparing stock for Customer or other visitors, stock inspections, yard work and general tasks to ensure Operations run smoothly.


The role will require you to monitor and maintain a safe working environment according to our Health and Safety policies. This includes maintaining a safe working external yard.


Training and Development:

We sell predominantly used laboratory equipment, but we do not expect you to have any prior knowledge of lab equipment.


About You:

For a hard-working candidate who possesses a high degree of care and pride in their work, we can offer a unique role that is extremely dynamic and mentally engaging.


To fulfil the role, you must be highly motivated and have excellent IT skills, stock requests and daily checklists are controlled via a handheld mobile device either through an App or mobile web browser, an excellent understanding of mobile devices for stock control is desired for this role.


We need someone keen to get on with the work, whilst also maintaining quality in things like stock location accuracy.


It is also important that you feel comfortable working under direct supervision to meet targets, as well as self-motivating yourself when working independently.


Other Considerations:

The position is strictly non-smoking only.


Forklift experience is desired but not essential as training will be provided to the right candidate.
